A. Always make your checks out to the organization you belong to. If you are a KKΨ chapter then make the check out to "Kappa Kappa Psi". If you're in TBΣ then make the check out to "Tau Beta Sigma".

A. Sometimes we send things out to chapters that have not updated their information in a few years and we have a bad address. Be sure to check with the chapter directory and ensure that your address is correct.

 

If your address is correct, then before calling HQ be sure no one like a band secretary or someone else is holding onto the mail for you. A lot of times folks will be holding the chapter's mail for them.

 

If you still cannot find it, call National Headquarters and we'll see if we can track it down for you.

A. At Headquarters, we GREATLY APPRECIATE when a form is typed instead of handwritten, but we understand some computers don't allow for data entry onto our forms. If it MUST be handwritten, it MUST be legible. If it is illegible, we are not responsible for membership cards with misspelled names and/or incorrect information put into our database.

 

Also, if the form is handwritten, it usually takes longer to process... something to keep in mind.

A. It can take from 2 weeks to up to 2 months to receive your materials depending upon when they were sent and how much is being sent at that time. The earlier you send it in the better.

A. If you have a member you believe is active (they were definitely initiated, have been a member for a year or so, or are back from a prolonged absence at school) and they are not on your Chapter Personnel Report, they may not have ever been reported on an initiate registration form or a chapter personnel update form. Check to see if they ever received their membership card(s) and then check with headquarters to see if maybe their initiate registration form was ever turned in. You might be accidentally committing membership fraud, i.e. where a member is participating as an active but isn't actually an active member. Don't worry though - this is easily fixed as long as you take the necessary steps and work with HQ to fix the situation.

A. The BEST WAY to know if HQ has received your paperwork is to send it via 1st Class Mail. It costs a little extra, but HQ always has to sign for those packages and parcels sent 1st Class, and you'll get written notifcation that it has been received.
